Overview

The Office Administrator role will be responsible for managing key matters related to the smooth running of the head office including supplies, meet and greet and telephone management.

The UME LLP support role will provide support for the investment team in general administrative activities including preparing document bundles, collating accounts data and photocopying.

Key Responsibilities – Office Administrator

  • To act as the initial link to those contacting the Company by phone or in person, ensuring they are professional handled and dealt with swiftly.
  • Act as liaison between the Company and the landlord on such matters maintenance of the office, notification of weekend working and security passes for staff ensuring the Company receives the service required.
  • Supporting facilities management by working with the landlord to resolve day-to-day issues such as cleaning and minor repairs.
  • Ensure meeting rooms are prepared in advance and then cleared after each meeting including organising catering requirements.
  • Assist in booking travel arrangements for managers and staff including visa applications ensuring arrangements are made in a timely and cost-efficient manner.
  • Provide a general office support facility including handling inbound and outbound post and courier services, managing stationary stocks and ordering groceries was required.
  • Support the effective operation of the Corporate office by ensuring the print room is managed effectively and ensuring that any machinery repairs are actioned appropriately.
  • General filing / photocopying and binding as required.
  • To act as the general liaison point for the ordering of local marketing materials, seeking to handle this in the most cost effective way with guidance as required from the IT and HR manager.

Key Responsibilities – Admin Support UME LLP

  • Accurately file statutory company files.
  • Prepare document bundles according to specific instructions so that legal and financial transactions are properly supported.
  • To gather Company data as directed from internal and external sources.
  • To make travel arrangements as directed for UME LLP staff.
  • To organise meetings as directed with internal and external participants, ensuring that specific invitees are available when meeting is scheduled.
